Preferably, new stallholders' initial enquiries and bookings should be made by telephone. (Two minutes on the phone will normally get queries/details sorted there and then).
You can also use emails or the post - but if you are using either the post or emailing please send a telephone contact number and let us know what you sell/do so we can get back to you in the shortest possible time. Book as early as you can! We can then do more for you by way of advertising, etc.
Table prices can be found on 'Our Venues' page under "Stall Costs | Payment Options".
Cheques should be current and made payable to M. Pateman.
Or, for payment by BACS or internet banking:
Account 29117686 at Santander / Sort code 09-01-32. Put your name as reference.
It is also possible to make payments via PayPal. Our ref: " marc.fairs@btinternet.com".
(To avoid costs, please use personal section. Log in to PayPal - click Send Money - click Personal - tick Personal Payment).
NOTE: Payment for first fair booked must be sent at time of booking along with a £10.00 deposit for each of any additional fairs booked. After the initial fair, balance payments should be made at least ten days prior to your next event.
Deposits are non-refundable but in certain instances may be moved to another, as yet not booked event. When booking multiple fairs, a £10 non-returnable deposit per fair is required. This amount is not in addition to the fair cost and will be deducted from the actual stall rent but will be forfeited due to cancellation or non-attendance at the booked fair.
To guarantee exclusivity products such as FLP, Bioflow, aura cameras, etc where we will only knowingly take one of that stall type, you will be asked for full payment for each fair booked. This means we will not accept additional bookings for these products/services from other prospective stallholders once your payment is in place.
This will be forfeited due to cancellation or non-attendance at the booked fair. Monies held as non-returnable deposits may also be used towards payment for a missed fair or cancellation of a fair.
Where possible we will send out a reminder by email of your booking for your next fair on the Monday before each event. Please REPLY IMMEDIATELY. This enables us to correctly inform prospective visitors of the number and type of stalls, etc, at an event.
Cancellations will only be accepted up to ten days before a fair. (This is very relaxed. Most organisers require several weeks' notice in advance). After this time full payment will be required for the cancelled event.
This allows us a little time to try and resell the stall, but, more importantly it also enables us to give up-to-date, accurate information to visitors by way of advertising and email shots, etc. After this time monies will be forfeited and a new payment for the next event should be sent.
In the unlikely event of a fair being cancelled County Fairs will only be liable to return monies paid by the exhibitor to attend that fair and nothing else.
Tables and chairs will be provided at fairs. Unless otherwise stated (eg, in "reminder emails") our tables are nearly always 6'x2'6".
Positions
Whilst we will always try to meet stallholders' requests - to stop possible disputes - the general rule is that tables will be allocated to stallholders as for the previous fair at each venue.
All Sunday events will be open to the public from 10am to 4.00pm with set-up from 8.30am. Tables should be made to look as presentable as possible and be occupied at least 30 minutes before opening. For best appearence tables should be covered and the cloths should be large enough to cover the front and sides. A bare table won't display your goods well!
Early packing shows disrespect to fellow stallholders and most importantly to afternoon visitors. We advertise the opening and closing times as 10am to 4pm and of course later visitors have a right to see the fair as advertised.
If you can't adhere to this simple, basic condition please, don't book!
Where appropriate we advertise in local press and magazines. We sign at venues, road junctions and shopping centres, etc. We appear on Facebook and several websites. We also send out hundreds of information emails to prospective visitors before a fair.
County Fairs have their own public liability insurance but this would not cover a stallholder if
they cause harm or damage to others or their property.
Stallholders attend events at their own risk and it is assumed that by booking stallholders will have their own public liability insurance in place on the date of each fair attended. Stallholder insurance is available from numerous insurance agents/companies on line. Yearly cover can be obtained from around £50.00. More and more venues are now asking for stallholders to have their own insurance.
Power for spot lights, etc. is free, but, as we cannot guarantee a power point immediately at the back of every stall you should always have your own extension lead. This should be at least 20' long. Note that older, high wattage halogen lamps are not suitable at events. All electrical items must have current PAT test certificates. To avoid power cut-outs definitely no kettles or heaters!
Nowadays, there are a lot of good, powerful battery-powered lights available. These are
obviously a much better and hazard-free alternative.
Light refreshments will be available. You can, of course, always bring your own refreshments.
